Privacy statement for job applicants
Introduction
This privacy statement outlines how Team Tailor AB (“Teamtailor”) (a company registered in Australia, with company name Teamtailor Australia PTY LTD, ABN 72 669627570) manages your personal information. This privacy statement applies to services offered by Teamtailor which includes but is not limited to Farmlands’ website, Teamtailor, Oneflow and all related websites. Your use of Teamtailor services will indicate your authorisation for Teamtailor to collect, use, disclose, store and process your personal information in accordance with this privacy statement and Teamtailor’s privacy policy. When you apply for a job opening posted by Teamtailor, their Privacy Policy will apply to their processing of your personal data. Personal data means any Personally Identifiable Information (“PII”) of the job applicants, who are potential future employees, including contractors.
From time to time, Teamtailor may update their privacy policy and will notify you of any changes by posting the changes to privacy policy on Teamtailor’s website. If you don’t agree with the changes to their privacy policy, then you may stop using their services or contact us (see ‘Contact Us’ at the bottom of this statement).
Your Personal Data
Teamtailor collects and processes some or all of the following information from you, as follows:
Contact information:
Name, e-mail, postal address, telephone number, social media profile.
Information that you upload to the Service:
CV, reference letters, qualifications, images etc. relating to your employment history, skills, and experience.
Information linked to interviews:
Information you provide to Farmlands and/or Teamtailor in regular interviews and/or video interviews. Results from tests performed by you in relation to a recruitment process.
Technical data:
Information about your use of the Service (e.g., the URL you are accessing the career site from, your IP address, unique device ID, language and operating system etc.)
Surveys:
Your input on surveys that Teamtailor might use for research purposes, although you may not have to respond to the surveys.
If you are unable to provide Teamtailor with the personal data above, please note that Teamtailor might not be able to provide you with the Service in its entirety. Also note that Teamtailor will process all the personal data that you provide Farmlands and Teamtailor in relation to the Service. Therefore, please only provide Farmlands and Teamtailor with necessary information and not with any sensitive personal data. Sensitive personal data is personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a person, data concerning health or data concerning sex life or sexual orientation.
Data Teamtailor collects from other sources
If you apply for a job opening or connect with Teamtailor through your social media profile, such as LinkedIn, Teamtailor will collect your personal data from the relevant social media profile and synchronise with the Service.
The Service allows Teamtailor to collect your data from third party providers and synchronise with their Service, which may include your personal data, to better understand your fit for a specific role and to develop and improve the Service.
Teamtailor may also receive your personal data from a party who recommends you as a candidate for a specific job opening or for their business in general.
How Teamtailor make use of your personal data
Teamtailor collects your personal data when you:
- Submit your job application to Teamtailor directly on their career site, or through your social media profile, or through external job boards.
- Connect with Teamtailor in order to be considered for future job applications and receive updates about job openings, either directly on their career site, or through your social media profile.
- Contact any of Teamtailor’s employees through the Service.
- Provide information to Teamtailor in connection with an application process.
- Provide feedback during or after a recruitment process.
The purpose of processing personal data through the Service is to identify and hire suitable candidates and to communicate with and assess candidates based on current and/or future recruitment needs. Teamtailor must therefore collect your personal data so that you can apply for a job or connect with them. Teamtailor only process personal data that is relevant to the recruitment process and the personal data will only be made available to those who need it to fulfil the purpose.
Teamtailor uses information that they collect about you to:
- Consider your application in respect of a role for which you have applied.
- Consider your application in respect of other roles.
- Communicate with you in respect of the recruitment process.
- Enhance any information that Teamtailor receives from you with information obtained from third party data providers.
- Find appropriate candidates to fill Farmlands’ job openings.
- Help them improve the Service.
Automated decision making/profiling
The Service allows Teamtailor to select appropriate candidates to consider based on criteria expressly identified by them, or typical in relation to the role for which you have applied. The process of finding suitable candidates is automatic, however, any decision as to who they will engage to fill the job opening will be made by Teamtailor and/or Farmlands staff. This process is performed in order to facilitate the recognition of candidates with higher potential of being hired. It does not evaluate key characteristics regarding an individual and is completely anonymous.
Sourcing
Where Teamtailor sees the potential of including you in a recruitment process for a job opening with Farmlands, Teamtailor’s staff may source your personal data from third parties, such as LinkedIn and other social media sources, that keep public information about you. Through “sourcing” they collect your contact information and information that you have uploaded to the third-party service.
Disclosure of your data
Teamtailor will pass your data to processors of the Service and other third-party service providers (connected to the Service) who use it only in accordance with their instructions and as otherwise required by law. Teamtailor may also share your personal data with authorities to fulfil obligations under law or execute decisions.
Teamtailor may also share your data in the following circumstances:
Personal Information may be provided where they are required to do so by law (such as, but not limited to a government order or a subpoena, which they will take steps to contest prior to disclosing), or if they believe in good faith that it is reasonably necessary (i) to respond to claims asserted against them or to comply with the legal process (for example, discovery requests, subpoenas or warrants); (ii) to enforce or administer their policies and agreements with users; (iii) for fraud prevention, risk assessment, investigation, customer support, product development and debugging purposes, including investigation of violation of Teamtailor’s terms or agreements with others; or (iv) to protect their rights, property or safety, its users, business partners or members of the general public.
Teamtailor also may sell, transfer or otherwise share some or all of its assets, including your personal data, in connection with a merger, acquisition, reorganisation or sale of assets or in the event of bankruptcy. Under such circumstances, Teamtailor will use commercially reasonable efforts to notify their users if their personal data is to be disclosed or transferred and/or becomes subject to a different privacy policy.
Farmlands’ use of your Data
Farmlands process your personal data based on your consent and/or for the purpose of potentially joining our team. We may also rely on third parties (e.g., background checking agencies, your nominated references and immigration agencies) to provide such data and proceed on the basis that they have your consent or another legal basis to collect, process and pass that data to us.
If you are offered a position at Farmlands as an employee, you may be asked to complete pre-employment checks. We may use your personal data to initiate employment processes such as requesting pre-employment/engagement checks and, where applicable, assessments and if successful, providing an employment agreement or agreement for services. We may inform you which checks are relevant to your role before they are conducted. You can refuse to allow us to conduct checks, but this may affect your ability to commence in a role at Farmlands.
If you are employed or engaged by us, we’ll continue to store your personal data in Farmlands internal HR systems to support employment and contractor engagement processes and the management of your employment or engagement throughout your time with Farmlands. Such storage will be in accordance with statutory requirements and Farmlands’ policies.
For this purpose, we process your personal data, which may include contact details, date of birth, gender, nationality, ethnicity, ID card or passport details, employment status, experience and qualification information (such as employment history, education history etc), results of background checks, visa/work permit details, availability, tax details, emergency contacts, references, payment and salary details including those related to bonus, insurance, and details about your location.
Following your selection, we may provide certain information to immigration and taxation agencies as required by law to monitor our compliance with relevant immigration and taxation laws.
If you’re a contractor, we’ll process your personal data, in the same way, to enter and manage an agreement for services with you.
Farmlands’ also collects and process your personal data for our legitimate business interests, for example, fraud prevention, maintaining the security of our data and systems, direct marketing (of employment opportunities with Farmlands), and improving our recruitment services. Whenever we rely on this lawful basis to process your data, we assess our business interests and make sure they don’t disregard your rights.
Only those Farmlands staff members or agents acting on behalf of Farmlands that are involved in your recruitment process(es) will have access to your personal data. Such access will only be to the extent necessary to fulfil their respective tasks. These staff members and agents are, for example, Farmlands’ recruitment team, HR employees, and the relevant hiring managers and interview panels.
Your personal data may be accessed by other relevant Farmlands departments such as IT, Risk, Legal, and Compliance, but only to the extent necessary to perform their jobs in relation to you onboarding as an employee or contractor (as applicable).
How Teamtailor store your personal data
Teamtailor takes appropriate measures to ensure that your personal data is kept secure including security measures to prevent it from being accidentally lost or used or accessed in an unauthorised way. They limit access to your personal data to those who have a genuine business need to access it. Those processing your data will do so only in an authorised manner and are subject to undertakings of confidentiality.
If you are located within the EU/EEA, the data that we collect from you and process using the Service is only stored within, and on devices physically located within, the EU/EEA, or such third country deemed to offer an adequate level of security by the European Commission. By submitting your personal data, you agree to this transfer, storing or processing of your personal data.
Your data will be processed if it is necessary for the purposes linked to the personal data and Teamtailor having a legal ground to process your personal data. The personal data processed with consent as legal ground is only processed as long as they have valid consent. Upon your written request to Farmlands or to Teamtailor, your personal data will be deleted.
After completion of a recruitment, there is certain information that they are obliged to save by law. If your personal data is processed by Teamtailor for this purpose, they will ensure that it is processed only for the purposes stated in the legislation.
Your rights
It is important to Farmlands and Teamtailor that the personal data we hold is accurate, complete and current. If you’re a registered user of a Teamtailor, you may log in to your account and update your personal data. If this is not possible, you can contact us.
Under the General Data Protection Regulation and other applicable data protection laws you may have a number of important rights with respect to your personal data.
These rights are:
Right to access your information: You can get information from Teamtailor about what personal data they have collected, why they have collected it and so on.
Right to rectification: If any of your personal data that they process is inaccurate, you are entitled to have it corrected.
Right to erasure ("right to be forgotten"): You can request that Teamtailor erase personal data that they have gathered about you. Teamtailor will then, if no exceptions to this rule are applicable, remove the requested personal data.
Right to restriction: You can request that Teamtailor restricts the processing of your personal data under certain circumstances, e.g., if you contest the accuracy of the personal data processed by them. They must then restrict the processing while verifying the accuracy of your request.
Right to object: You can object to the processing of your personal data that Teamtailor carries out, including profiling and direct marketing purposes.
Right to data portability: You can request that Teamtailor provides all the personal data that Teamtailor processes about you in an easy and assessable format.
Lodge a complaint: If you are unhappy with Teamtailor handling of your personal data, you can lodge a complaint to the Swedish Authority for Privacy Protection, which is the lead supervisory authority in relation to Teamtailor in the EU. You can also lodge a complaint with the data protection authority in your home country in the EU, if you are based in the EU. If you are based in the UK, you can lodge a complaint to the Information Commissioner’s Office in the UK. If you are in New Zealand, you can lodge a complaint with the NZ Privacy Commissioner (or any other applicable Data Protection Authority).

Teamtailor’s Site may contain links to third-party owned and/or operated websites including, without limitation, websites owned and/or operated by third parties. Teamtailor is not responsible for the privacy practices or the content of such websites. These third-party websites have separate privacy and data collection practices and Teamtailor have no responsibility or liability relating to them.
